Help and guide

What you can do in MyLedger and where to find it. Open a question, then choose Take me there to be shown.

Recording money

Add, change and delete what you spend and receive.

  • How do I add a transaction?

Tap Add transaction (on a computer, use the row above the list). Choose Money out, Money in or Transfer, enter the amount and pick a category. The date and a note wait behind More options.

  • How do I record money coming in?

Add a transaction and choose the Money in tab instead of Money out. Pick an income category such as Salary. It raises the balance of the account you choose.

  • How do I move or transfer money between my accounts?

Add a transaction and choose the Transfer tab. Pick the account the money comes from and the one it goes to, then enter the amount. Both accounts get a matching entry, and it is not counted as spending or income.

  • How do I record one payment in two accounts at once?

Add a transaction, open More options and choose the other account under Also add to another account. Both accounts get a matching entry, and the two stay in step if you change one. Neither is counted as spending or income.

  • How do I change or delete a transaction?

On Home, tap a row on a phone and change it or choose Delete. On a computer, use the pencil or the bin on the row. A deleted transaction can be brought back with Undo, just below the list, and a transfer is deleted on both sides.

Your month at a glance

What the Home screen shows.

  • Where do I see how much I spent this month?

The green panel at the top of Home shows what you spent so far this month, your daily average and how it compares with the same days last month. Tap or hover a bar to see one day. Money in and moves between your own accounts are left out.

  • Where do I see my account balances?

The Accounts panel on Home lists each account with its balance, and the net position: what you have minus what you owe. A card or loan shows as Owed, not as a negative number. Tap an account to see its transactions.

  • Where did my money go this month?

The card on Home called Where this month went groups your spending by category. For other periods, or a comparison with the month before, open Reports.

Finding transactions

Search, filter and look back through your history.

  • How do I find a transaction?

Open Transactions and type in the search box: it looks through descriptions, categories and amounts for the month on show. Use the filters beside it to narrow by money in or out, or by category. Clear search and filters brings everything back.

  • How do I see transactions from last month or another month?

On Transactions, use the arrows or the month and year pickers above the list. You can go back as far as your first transaction. Reports has the same pickers for charts and totals.

  • How do I see just one account?

On Transactions, choose the account in the Account menu above the list, or tap an account on Home. The total then shows that account's balance, with what came in and went out in the month. Choose All accounts to go back.

  • How do I list only money out, only money in or only transfers?

On Transactions, open the type menu next to the search box and choose Money out, Money in or Transfers. Choose Money in and out to see everything again. The category menu beside it narrows the list further.

  • How do I change the category of many transactions at once?

On a computer, open Transactions and tick the boxes at the start of the rows, then choose Change category in the bar that appears. The same bar can delete the ticked rows. On a phone, open a transaction and change it there.

  • Can I paste rows from a spreadsheet?

Yes, on a computer. Copy rows in Excel or Google Sheets, click a cell in the Transactions grid and paste. You get the same preview as an import, with the columns read for you, and nothing is added until you confirm.

  • How do I filter transactions by dates or by amount?

On Transactions, open Dates and amounts under the search box. Set a From and To date to see those days instead of one month, and a smallest or largest amount to cut the list down. Clear search and filters, or Show one month, takes them away.

  • What does the Balance column on Transactions mean?

Pick one account on Transactions and a Balance column appears: what that account held right after each transaction, in date order. Hover over the heading to see this again. A spending log has no balance, so it has no column.

Reports

Charts and totals for a month, a year or any dates.

  • How do I see a report for another month, a year or my own dates?

On Reports, use the row at the top: Month, Year or Custom, then step with the arrows or pick from the menus. With more than one currency recorded, a Currency menu appears there too. Every chart below follows your choice.

  • How do I compare this month with last month?

The green panel at the top of Reports shows the total for the period and whether it is more or less than the period before. A month still in progress is compared with the same days of the one before. Income for the period sits beside it.

  • How do I see my spending over time?

Spending trend on Reports shows totals by day, or by week for a long period. Switch a chart to Table to read the same figures as text. Every report chart has that switch.

  • How do I see what came in against what went out?

Income and spending on Reports shows each of the last twelve months, with the difference between them (net cash flow). Moves between your own accounts are not counted in either.

  • Which category costs me the most?

Where it went on Reports ranks your categories for the chosen period, with each one's share and how it moved from the period before. Open the Table view for exact figures.

  • How do I see what share each category takes?

Share of spending on Reports draws a ring of your five biggest categories, with everything else together as Other, and lists the amounts and percentages beside it. Point at a slice or move to a row to see its figures in the middle. Switch to Table to read the same figures as text.

  • How do I compare month by month, or see the whole year?

Month to month on Reports shows the total of each of the last twelve months side by side. Open the Table view to read the figures as text.

  • Where is my summary for the whole year?

At the bottom of Reports, the year summary shows the year's total, your top category and how it compares with the year before. Choose another year with the Year option at the top.

Accounts and categories

Where your money is, and what it was for.

  • How do I add an account (cash, bank, wallet, card or loan)?

Open your Profile from the MyLedger menu, find Accounts and tap Add account. Give it a name, choose its type and the amount it starts from. For a credit card or a loan, tick This is money I owe: it then shows as Owed and is taken off your net position.

  • How do I rename, reorder, archive or delete an account?

In your Profile, under Accounts, use the arrows to reorder and the gear on an account to manage it. There you can rename it, make it the default, archive it or delete it. An account with entries cannot be deleted; archive it and its history stays.

  • The balance is wrong. How do I set the real one?

In your Profile, under Accounts, tap the gear on the account and use Set actual balance. Type what the account really holds and the app adds one Balance adjustment entry for the difference, dated today. It never counts as spending or income.

  • What does Owed mean?

Owed is what you must pay back on a credit card or loan, shown as a plain amount rather than a negative balance. It is taken off the other accounts to give your net position. To record one, add an account and tick This is money I owe.

  • How do I add, rename or reorder categories?

In More, open Categories. It lists money-out and money-in categories separately: use the arrows to reorder, the pencil to rename and the bin to delete. To add one, pick its type, type a name and tap Add.

  • How do I keep an account that has no balance?

In your Profile, under Accounts, turn off Keep a balance for this account, either when you add it or from the gear on an existing one. It then becomes a spending log: it shows what you spent this month instead of a balance, and it is left out of your net position. Money can still be moved into and out of it.

Settings

Currency, theme, your name and your data.

  • How do I change my currency?

Open your Profile from the MyLedger menu at the top and choose Default currency under Personal details. New accounts start in it. Accounts you already have, and what is recorded in them, keep their own currency and are never converted.

  • How do I switch to dark mode?

Tap the moon or sun icon at the top of any screen to flip between light and dark. In your Profile, Theme also offers System, which follows your device. Your choice is remembered.

  • How do I change my name or timezone?

Open your Profile from the MyLedger menu at the top. Personal details holds your display name and timezone. The name saves when you leave the field, and the timezone decides which day a new entry falls on.

  • How do I stop usage counting?

In your Profile, under Personal details, switch off "Share anonymous usage counts". MyLedger then stops loading the scripts that count page views and page speed for you. They never see what you record either way.

  • How do I import transactions from a CSV or Excel file?

Open More, then Import and export. Choose the account, pick your file, say which column is the date, the amount and so on, and look at the preview; a MyLedger backup skips the column step. Nothing is added until you confirm, and rows that look like duplicates start unticked.

  • Why were some rows left out of my import?

A row is left out when its date or amount cannot be read, when it is in another currency than the account, or when it is in the future. The preview lists every such row with its line number and the reason, and you can download that list. Fix them in the file and import again, or add them by hand.

  • How do I get a statement of my transactions?

Open More, then Import and export, and under Export choose Statement. Pick one account or all of them, the dates, and PDF or Excel, then download. It is laid out like a bank statement: the balance at the start, every entry with the balance after it, and the totals, with each account on its own pages.

  • How do I back up my data and restore it?

Open More, then Import and export. Under Export choose Backup and download the CSV; it keeps every detail, transfers included. To restore, choose that file under Import: MyLedger recognises it, puts each entry back in its account (offering to create any account you no longer have), and skips anything it already holds, so restoring twice adds nothing.

  • How do I connect Google Sheets?

In your Profile, under Google Sheets, tap Connect Google Sheets and allow access on Google's screen, then create or pick a Drive folder. MyLedger keeps one spreadsheet per account per year there, and can open only those. To stop, tap Disconnect in the same section; your spreadsheets stay in your Drive.

  • How do I change the Drive folder my spreadsheets are in?

In your Profile, in the Google Sheets section, tap Change folder. Create a new folder by name or pick one you already have, and the spreadsheets MyLedger made move into it. If the old folder was deleted, this is also how you carry on.

  • Can I edit my transactions directly in Google Sheets?

Yes. Changes you make in the spreadsheet show up in the app the next time it syncs: when you open it, come back to it, or every few minutes. Keep the first row and the month tabs as they are and leave the ID column alone; a row you add gets its ID from the app.

  • Where are the privacy policy, terms and About page?

Open More, then About. It says what MyLedger is, where your data lives and who made it, and links to the privacy policy and the terms of use.

Your sign-in

Signing in and out, your password, deleting your account.

  • Why am I asked to agree to the Terms and Privacy policy?

You confirm once that you are 13 or older and agree to the Terms and the Privacy policy, and MyLedger keeps a record of which version you agreed to and when. If either document changes in a way that matters, you are asked once more before you carry on. You can read both any time from About.

  • How old do I need to be to use MyLedger?

You need to be 13 or older. When you create an account, or the first time you sign in with Google, you confirm that you are. If you are under 13, please do not create an account.

  • How do I sign in to my own account?

On the sign-in page, tap Continue with Google, or use your email and password below it. Nothing you do in the demo is saved, so sign in to keep your records.

  • I forgot my password. What do I do?

On the sign-in page, choose Forgot your password and enter your email. If it has an account, a link to set a new password is sent. The link works once, and you can open it on any device.

The demo

Trying the app without an account.

  • What is the demo, and is anything saved?

The demo is the whole app running on made-up data so you can look around. Changes stay in this browser tab and nothing is stored or sent anywhere. Create an account when you want to keep your own records.

  • How do I create an account?

Tap Create account in the bar at the top of the demo, then Continue with Google, or enter your name, email and a password and follow the link we send. Either way you confirm you are 13 or older and agree to the Terms and Privacy policy, and your own account never shows the demo data.

  • How do I start the demo again?

Tap Reset demo, the circular arrow in the bar at the top. Everything you added, changed or deleted is undone and the made-up data comes back as it was. Reloading the page does the same.

Help

Finding answers in the app.

  • How do I ask for help?

Tap the question-mark button at the top of any screen, or press Ctrl and K on a computer, and type what you want to do. Choose Take me there to open the right screen with the control marked. The Guide page lists every answer.
